HR Orientation
All new benefits-eligible faculty and staff will be registered for a virtual new employee orientation [PDF]. An email will be sent to the new employee including the meeting link (only accessible during the scheduled time) and the supervisor notified. Videos will be shown reviewing the following topics and questions addressed at the end of each.

Those who are unable to attend may access the videos using their OHIO ID and password. Please reference the HR Orientation Handout [PDF] when viewing. New faculty and staff may activate OHIO email accounts online, using their PID number. Please email uhr@ohio.edu if you do not have this number.

Flexwork Tracker
Human Resources developed an electronic application that employees must use to record current and future remote and hybrid work arrangements. Any flexible work arrangements must be submitted using MPI: FlexWork Tracker and approved by the employee’s supervisor. Before updating MPI, all employees are expected to have a conversation with their supervisor regarding their work arrangements. After the conversation with your supervisor and a documented agreement is reached, the employee should update their work location within MPI: FlexWork Tracker. This will generate a workflow record requiring supervisory approval before the record is submitted to UHR for processing. Benefits Enrollment
New faculty and staff are NOT automatically enrolled in benefits. If enrollment does not occur within 31 days of the start date there is no enrollment opportunity until open enrollment which is held in the Spring with elections effective the start of the benefits plan year on July 1.

Once enrollments are made email benefits@ohio.edu for processing. Coverages will display in suspended mode until benefits staff access the system and accept verification documents (ex. birth/marriage certificates, etc).
Medical and Prescription ID Cards
Medical and Prescription ID cards will be generated after enrollments are processed. Cards are mailed to the home address from Anthem and CVS Caremark which can take 7-10 business days. Anthem cards are issued to the employee and covered dependents. CVS Caremark cards are issued in the employee's name only and should be used by any covered dependents, dependents do not receive prescription cards in their name. Vision coverage does not require an ID card.
Retirement
The Retirement Plan Election form [PDF] is due within 120 days of the start date. This allows the University to send retirement contributions to the selected provider. Employees must also contact their chosen Ohio University ARP Provider, OPERS (1-800-222-7377) or STRS (1-888-227-7877) to set up account allocations. If you choose to participate in an Ohio University Supplemental Retirement Account you may complete and return the Salary Reduction Agreement at any time to start, stop or make changes to your account(s).

OHIO ID Card
OHIO ID cards are available in the Bobcat Depot. If you are not on the Athens campus and would like to obtain a card you will need to submit a photo to the Bobcat Depot (bobcatdepot@ohio.edu) , please review OIT’s requirements for photo submission. Once the photo is submitted and approved the ID will be ready for pick up in 48 hours. Regional campuses typically issue ID cards in their IT or Student Services area. Contact your specific campus for additional information.
OHIO Email Account
You may activate your email online using your PID number. Please email uhr@ohio.edu if you do not have this number.
Parking
Athens Campus Employees must opt in/out of parking by completing the Faculty/Staff Permit Payroll Deduction Determination form [PDF]. Once you have opted out of the annual parking permit fee you will not be able to opt back in until the next annual renewal period. If you do not elect to purchase an annual permit or complete the opt out form during the designated time you will be automatically opted out after the opportunity ends.

Supervisors
Supervisors will be notified of their new hire's virtual orientation session and are encouraged to utilize the departmental new hire checklist [DOCS] to establish an itinerary for the first day that a new employee will be in the office.
