Paying for Individual Travel through Concur
As travel has picked back up, the PCard office has been seeing some issues with the Corporate Travel Card (CTA) being used to hold hotel rooms booked through Concur. In some cases, the hotels are charging the CTA card, which was only meant to hold the hotel room, and charging the individual’s PCard at checkout causing duplicate transactions. To avoid these issues from happening, cardholders should only use their individual payment or travel card to book hotels in Concur rather than holding them on the CTA card. When the CTA card is used to pay for an individual’s hotel room, the transaction comes into Concur as an “orphan” transaction, meaning that it does not map to an individual’s Concur profile. The PCard office then must research all travel to the location within the given timeframe to get the transaction mapped to the correct traveler.
Whether you have a university purchasing card (pcard), travel card, or prefer to pay for hotels using your own credit card (not required but some employees chose not to have a university credit card), all are acceptable payment methods for hotels.
If you are arranging travel for university guests or visitors, you can place those reservations on another university employee’s pcard, travel card, or a departmental card. Some hotels will work with you to setup direct billing, but you will have to set that up directly with the hotel.
