Policy 41.121 Updates Approved Effective February 17, 2026

As announced in the February 26 edition of Ohio today, the Ohio University Executive Staff Policy Committee (ESPC) and the President final approved policy updates to 41.121 – Reimbursement for Official Travel and Entertainment .
This updated version does not introduce new requirements or materially change university operations. The revisions clarify existing practices, improve policy consistency, and relocate information that is subject to change to university web resources to support ongoing compliance and ease of administration.
The following updates were made to the policy:
- Checked baggage was removed from Section A(6) and addressed in Section D(6), where it is more applicable.
- Additional partner language was added to the spousal travel section to ensure consistency and inclusivity.
- Language in the rental car section (C(2)) was revised to more clearly explain insurance allowability based on rental source and travel location.
- Specific minimum driver age requirements were removed from the policy and relocated to the Travel Website, while the policy now references university rental car agreements to allow flexibility as vendor contracts change. See Ground Transportation | Ohio University for age requirements.
- In Section G(3), language was added to clarify the allowability of registration fees that include incidental or extraneous activities when those costs cannot be reasonably separated.
- A Ground Transportation reference link was added to direct travelers to current transportation requirements housed on the Travel Website following the removal of specific age thresholds from the policy. See Ground Transportation | Ohio University for age requirements.
