New Object Codes for Standardized Patients and Visiting Clinicians

Two new object codes have been created to improve how we track and process payments for standardized patients and visiting clinicians. These updates are part of an effort to streamline payments, increase transparency, and ensure consistent classification of services across campus.

What Are Standardized Patients?

A standardized patient is an individual trained to consistently simulate a real patient’s medical condition, history, and symptoms for educational or assessment purposes. According to widely accepted definitions, standardized patients are commonly used in healthcare education to help students practice clinical and communication skills in a controlled, realistic environment.

Processing Payments to Standardized Patients:

  • Standardized patients will continue to be paid using the AP Request form 
  • Payments should be coded to object code 721570 STANDARDIZED PATIENTS to ensure these payments are categorized accurately and consistently across the institution. 

What Are Visiting Clinicians?

A visiting clinician is a licensed healthcare professional who is not a permanent employee of the institution but provides temporary services such as teaching, training, consulting, or clinical expertise. These individuals often bring specialized knowledge or real-world experience to enhance academic programs.

Processing Payments to Visiting Clinicians:

  • Visiting clinicians will now be paid using the Short Form Services Agreement 
  • The form has been updated to support this type of engagement 
  • Payments should be coded to object code 721580 VISITING CLINICIANS to track these payments in a consistent manner across the university

Why This Change Matters

The introduction of these object codes provides several benefits:

  • Improved financial tracking as they clearly distinguish between different types of professional services 
  • Consistency across departments and standardizes how payments are categorized and processed 
  • Enhanced compliance that aligns payment methods with the nature of the service provided 
  • Streamlined processes that clarifies which forms to use for each type of payee 

What You Need to Do

Departments engaging standardized patients or visiting clinicians should:

  • Use the appropriate payment form as outlined above 
  • Apply the correct new object code when submitting transactions 
  • Ensure documentation aligns with the nature of the services provided
