Elective Research Rotation Checklist

    Year 3 Elective Research Rotations

    Special permission is required to conduct a research rotation during Spring Semester of Year 3 of your medical school education. Read the application process for the appropriate class in the Research Rotation Guide on the Elective Research Rotation webpage.  Please pay special attention to the deadlines.

    Year 4 Elective Research Rotations

    Elective research rotations will not be approved for the Spring Semester of Year 4 due to upcoming graduation deadlines. 

  1. Application Process
    • Students must be in good academic and professional standing.
    • Identify a research mentor and project.
    • Discuss feasibility, timeline, role of the student in the project, and deliverables with the research mentor.
    • Does your research project involve human or animal subjects?
      • Research cannot begin until approval is obtained from both the clinical site/host institution IRB/IACUC if research is being conducted outside an Ohio University facility and OHIO IRB/IACUC. Even if you have obtained approval from the clinical site/host institution IRB/IACUC, you still need to obtain a deferral from the OHIO Office of Research Compliance before commencing the research activity.
    • The Elective Research Rotation Application is available in Salesforce. Students should reach out to their Academic Program Administrator (APA) or Office of Research and Grants with questions. Instructions on how to complete this form can be found on the Research Activity Registration website.
    • For Year 4 elective research rotations, complete the online application in Salesforce at least 60 days before the proposed start date of the rotation.
    • Attach all required documents. This includes, but is not limited to, a letter/email of support from your mentor, study design or protocol, IRB (Institutional Review Board) or IACUC (Institutional Animal Care and Use Committee) documentation. The letter/email of support from your mentor must include the project title, the beginning and end dates of the rotation, and their willingness to serve as your mentor for the rotation.
    • Upon completion and submission of the application, it will be reviewed by the Office of Research and Grants. The student will be notified if there are any questions or missing information. Upon final approval, the student should upload documentation of their approval into eMedley and work with their APA to schedule the rotation.
  2. During Rotation
    • Follow the exact study proposal. 
    • NOTE: Any changes to the proposal are subject to an IRB/IACUC amendment approval and approval from the Office of Research and Grants before research can be continued.
  3. Update the Office of Research and Grants (director of educational programs) on progress and any issues during the rotation.
  4. After Rotation (Check deadlines!)
    • Submit a 3–5-page summative reflection paper.
    • Submit all deliverables indicated in the rotation application form (i.e., poster, final paper, etc.) to the mentor and eMedley. These will be reviewed and evaluated by the Office of Research and Grants (director of educational programs).
    • Complete the evaluation of the course by the due date.
