Important Information about your 2023 W-2

The start of a new year and tax time is approaching. To expedite delivery of your 2023 IRS W-2 form and protect yourself against identity theft, please sign up to receive your W-2 electronically no later than 5 p.m. on Friday, Jan. 12.

To receive your W-2 electronically, follow these simple steps:

  • Log into My Personal Information at myhr.ohio.edu.  
  • Multi-factor authentication is required to access My Personal Information. If you have not yet enrolled in Azure multi-factor authentication, please view OIT's enrollment instructions. 
  • After logging in, choose Other Misc. Information in the left navigation menu. 
  • Navigate to the electronic consent section. 
    • Select Add to re-enroll in electronic W-2 Forms or to choose your delivery preference for the first time. 
    • Select Update if you previously opted out of electronic W-2 forms and would like to change your selection to an electronic delivery. 
  • In the field next to I consent to receive my W-2 on-line: Select Y or N, enter Y and select Apply in the upper right corner. 
  • Note: Do not stop here.  To confirm your selection, you must complete the following steps.
  • Select Next and review your choice.
  • Select Submit to finish. 

The payroll office will notify you via email in January when your W-2 is available online. Additional instructions are available at ohio.edu/hr/resources/hr-system-training.

Benefits of receiving an electronic W-2 Form

Electronic delivery is more secure than paper mail: Your W-2 is a legal document that contains your Social Security number and your annual earnings. This information could be compromised if it is lost in the mail or misplaced.

You will have access to your W-2 earlier than those receiving it via mail: Electronic W-2 forms will be available before mailed forms. Employees who sign up for electronic delivery will be notified by email as soon as their W-2 is available. Employees who choose not to sign up for electronic delivery can expect paper W-2 forms to be mailed no later than Jan. 31, 2024.
