Hello everyone,

I’m writing to let you know about an enhancement to the PeopleSoft student program plan update process. The enhancement will be implemented on Thursday, September 3, 2026.  No immediate action is needed, but please feel free to share this message with anyone on your team who updates program plan stacks in PeopleSoft.

What is Changing?

Once this change is implemented, PeopleSoft will display a message when a user attempts to update the program plan stack to add a plan code that is no longer available for student declaration, such as a plan that has been inactivated, closed, or phased out. This includes majors, minors, and certificates.

If the message appears, the user will not be able to save the program plan update with that new plan code added. The change only applies when adding a restricted plan code; it does not affect other program plan stack updates, such as removing codes or updating requirement terms.

PeopleSoft has historically limited some additions to program plans at the point of matriculation, but it has not consistently prevented those same plan codes from being added later. This enhancement gives us a clearer way to identify the last date a plan code may be added to a student’s record and to prevent additions after that date.

Why is this Changing?

This enhancement supports several institutional needs. Recent external/state reporting and compliance expectations have made it more important for us to track when students are added to and graduate from certain programs. It also helps us manage program changes more consistently, such as when a plan code is no longer used because a program has closed, changed names, or moved to a new code.

Override Capability

Only authorized users in the registrar’s office with the appropriate security access will have the ability to override the restriction in rare cases when a documented business need exists. When an override is initiated, the system will display a warning message notifying the user that the selected major has been designated as restricted or closed and requires special approval to proceed.

Benefits of This Enhancement

• Ensures compliance with Board of Trustees approved program eliminations.
• Prevents inadvertent admissions or program changes into restricted majors, minors, and certificates.
• Provides a consistent enterprise solution for managing closed academic programs.
• Reduces manual oversight and improves data integrity across student records.
