Credit Hours
Exceeding Maximum Credit Hour Allotments
Students are responsible for the cost of exceeding maximum credit hour allotments occurred during an academic year. Public school students cannot exceed 30 hours in an academic year. Home educated and non-public school students cannot exceed the number of units awarded by ODEW. When overages occur, the student will be billed regular campus-based tuition for the entire course that caused the overage. An attempt will be made to choose the course that will have the least financial burden. The State of Ohio does not permit partial course billing in the case of overages.
Credit Hour Overage Processing
Per Ohio Department of Higher Education rules, students are responsible for the full cost (regular campus-based tuition, fees and books) of any course(s) that brings them over their maximum credit hour allotment for the academic year. Credit hour overage is determined by the following process:
- Funding award letters submitted to the Office of Dual Enrollment Programs prior to the last day to register for classes.
- Information is entered into spreadsheet and the spreadsheet and ODEW funding award letters sent to Admission Operations
- Admission Operations enters the number of awarded hours into 3C comments and adds SSID to student’s record.
- The Office of the Bursar waiver report indicates overages by credit hours. Either over 30 (standard amount) or over ODEW awarded hours. No waiver is applied to the students account if an overage is determined.
- The Office of the Bursar notifies Assistant Director of Dual Enrollment Programs of the number of credit hours the student is over.
- Assistant Director populates “College Credit Plus Credit Hour Overage Form” and sends the form to the student for completion and signature.
- Student returns form to the Assistant Director prior to the first day of the course and the Assistant Director delivers the form to the Office of the Bursar.
- The Office of the Bursar enters courses for which the student has indicated they would pay for under Option A. In addition, the students Equation Variable (STDNT_EQUTN_VARS) VAR CHAR5 will be updated to reflect the CC+ waiver as with all other students and the course they are electing to pay for. The valid CC+ values reflect campus and appear as ATHNCC, CHILCC, EASTCC, LANCCC, STHNCC, or ZANSCC. For these students, the following will be entered for example: ATHNCCENG1510A1 or CHILLCCCHEM1510A2. It will be notated directly in PS as to the class that is being paid for out of pocket. The A1 or A2 are options given pertaining to whether the credit is college and/or high school credit.
- The Office of the Registrar pulls course information into roster report and excludes A.1, A.2 and education benefit enrollments from the ODHE roster that is submitted to ODHE for billing purposes.
Course Retake Form and Instructions
Per Ohio Department of Higher Education rules, students are not permitted to retake a course under Option B of the College Credit Plus program if they have previously taken and earned credit in the same course. However, students can retake the course if they choose to pay the regular campus-based tuition and fees for the course under Option A of the program. If a student decides to retake a course under Option A, a “College Credit Plus Course Retake Form” will be issued to the student by the Assistant Director of Dual Enrollment Programs.
Completed forms must be returned to the Assistant Director for Dual Enrollment Programs prior to the first day of the class.
