Your department must enroll in Microsoft Azure MFA

Dear [NAME],
As part of the ongoing multi-factor authentication (MFA) migration initiative, The Office of Information Technology (OIT) has been working to migrate all current OHIO faculty and staff from DUO to Microsoft Azure MFA .Your unit has selected November 30, 2022 for your transition date.

You will receive a total of three emails with your final migration date noted. We encourage you to enroll in Azure MFA prior to the migration date in case you experience any technical issues that may require support from the IT Service Desk. If you do not opt-in to Azure MFA prior to November 30, 2022, you will be prompted to enroll the first time you attempt to access your OHIO account after the migration date.

Checklist for migrating:

  •     Have your computer and mobile device ready
    • You will want to enroll using your laptop or desktop computer. You will need to have your mobile device ready to scan a QR code later in the setup process 
  • Navigate to the Enroll in Azure MFA knowledge base article
    • Review the information in the Description box.
    • If you do not have a mobile device or would like to use a different method to authenticate, like receiving a phone call to a land line or an SMS message, select the link I want to set up a different method.
    • If you are moving forward with your mobile device, proceed to Step 1 in the Solution section.

Do you use the Virtual Private Network (VPN)?

  •     If you are a VPN user, you will need to download a VPN that is compatible with Azure MFA. The VPN that you used with DUO will not work with Azure MFA. Scroll to the bottom of the Enroll in Azure MFA article to download a compatible VPN after you have successfully completed the Azure MFA enrollment process.

Do you currently receive an electronic W-2, or would you like to?

  •     If yes, please review the next section.

Note: The change from Duo to Azure MFA introduces changes to the authentication method that is used to access your W-2 form electronically through My Personal Information. As a result of this change, the IRS requires renewed consent be obtained from employees who wish to continue receiving electronic W-2 forms. Please take a moment and re-enroll now if you would like to continue receiving your W-2 form online.

To receive your W-2 electronically, follow these simple steps:

  •  Log into My Personal Information at myhr.ohio.edu.
  • After logging in, choose Other Misc. Information in the left navigation menu.
  • Scroll to the OU Electronic Consent section and
    • Select Add to re-enroll in electronic W-2 Forms or to choose your delivery preference for the first time.
    • Select Update if you previously opted out of electronic W-2 forms and would like to change your selection to electronic delivery.
  • In the field next to I consent to receive my W-2 on-line: Select Y or N, enter a Y and select Apply. Note: Do not stop here. To confirm your selection, you must complete steps 5 and 6 below.
  •  Select Next and review your choice.
  • Select Submit to finish. The payroll office will notify you via email in January when your W-2 is available online.

Why must I migrate to Azure MFA?


MFA is critical to protecting OHIO accounts from lost or stolen passwords by adding a verification step or “push” to another device, prior to logging into OHIO applications.


Microsoft Azure MFA offers:

  •     A more user-friendly experience than DUO  
  •     Allows users to change their own passwords
  •     Option to Remember Me for 90 days instead of 30 days  
  •     Microsoft product that aligns with other OHIO applications yielding cost savings for the institution
