What is the purpose of Travel Registration?

Welcome to Ohio University Student Travel Registration. This page will help you understand university requirements included in the Student Travel Policy (22.001). 

The Office of Global Opportunities (OGO) provides global assistance to travelers through emergency communication and international health insurance. The travel registration process ensures that OGO can effectively support student travelers in case of incidents or emergency while traveling.

Emergency Communications - Your travel registration enables Ohio University to reach you in the event of an emergency, regardless of where you are at in the world. Through our partnership with International SOS, we monitor travel destinations (domestic and abroad) and will send alerts to registered travelers when emergency situations arise.

International Health Insurance - For students traveling internationally, travel registration includes international health insurance coverage. By providing travelers access to our comprehensive plan, OHIO can provide consistent support when medical and health services are needed abroad.

Who needs to register?

You will need to register if your university-related travel meets at least one of the following conditions:

  1. Is beyond 100 miles of the Ohio University campus of departure (to determine distance from campus of departure, see FAQ below);
  2. Includes an overnight stay (the departure of travel begins on one calendar day and ends on another); OR
  3. The travel is to another state. 

University-related travel encompasses a variety of activities. This includes, but is not limited to:

  • Travel for University credit;
  • Travel that fulfills a degree requirement, including, but not limited to, internships, field studies, research and service learning;
  • Travel supported by University funding, including, but not limited to, scholarships, grants, endowments, financial aid;
  • Credit-bearing and non-credit bearing international and domestic study away administered by the University;
  • International or domestic study away programs undertaken for transfer credit;
  • Travel with or organized by a University faculty or staff member;
  • Travel in support of or as part of a University research or creative activity;
  • Professional development opportunities, including, but not limited to, conference attendance and networking events sanctioned by a University unit;
  • Travel organized by student organizations, including club sports and intramural teams.

This policy does not cover personal travel such as vacation. The policy also excludes student travel to athletic or other events unless travel is sponsored by a University unit or a student organization.

Students traveling on a program arranged through the Office of Global Opportunities will not need to complete the travel registration as it is already part of your program application.

Failure to comply with the Travel Policy may result in judicial sanctions.

How Do I Register?

Travel registration is a 2-step process. It should be completed at least 1 week prior to departure. For international travel, please register at least 3 weeks in advance of travel and see additional information note below.

STEP 1: COMPLETE THE TRAVEL REGISTRATION

To complete the Travel Registration, you will need to know the following:

  • Name and email of trip organizer
  • Purpose of trip
  • Destination
  • Dates of travel

In addition, you will need to submit following information prior to departure. This information should be submitted when completing the Travel Registration. If you have to submit or update information at a later time, you may send it to global.opportunities@ohio.edu:

  • Address of Accommodation during your travel
  • A cell phone number where you can be reached during your travels
  • A copy of your flight itinerary (if flying)
  • For international travelers, a copy of your passport's photo page

STEP 2 - REGISTER FOR MyTrips: After you complete the Travel Registration, you must set up your MyTrips account and add your travel itinerary.

Student Travel & COVID-19

Travel increases the risk of getting or spreading COVID-19. In addition to following the requirements described in Policy 22.001: Student Travel, students planning travel should follow Centers for Disease Control and Prevention travel guidelines and use the use the CDC travel assessment tool available.  

The CDC advises that travelers, are up-to-date on COVID-19 vaccinations. Being up-to-date means that you have received the original series (or one-shot) COVID-19 vaccination plus boosters, as eligible. Travelers, who are not up-to-date on vaccinations should take steps to protect themselves and others from COVID-19, including testing before travel, masking during travel, and testing and quarantining after returning home. 

Travelers should additionally consider the level of community transmission, vaccination status of travel companions, and the potential need for quarantine or isolation during or after travel if you get sick with COVID-19. 

Additional Information for International Travel

If traveling internationally, please be sure you are in compliance with the Travel Policy. You will need to:

Travel Registration is not required for individuals participating on an OHIO Credit Study Abroad/Study Away Program OR students who are required to submit a Foreign Study Checklist including exchange programs, affiliated study abroad providers, non-OHIO study abroad/study away programs where you will receive transfer credit. Travel registration for those travel experiences is incorporated into the application and checklist processes.

Do I have to register when I am traveling home or taking a vacation?

No. This policy does not cover personal travel such as vacation or travel home. The policy also excludes student travel to athletic or other events unless travel is sponsored by a University unit or a student organization.

Do I need to complete the Travel Registration Form if I'm studying abroad?

If you're studying or traveling abroad, you must register.

In some cases, students are automatically registered and don't need to complete this separate process. This is true for students who are participating on OHIO Credit, Exchange, or Programs for Transfer Credit (Affiliate Providers, NON-OHIO programs), will be registered as part of the application process. 

If you are participating in Exchanges, Affiliate, and NON-OHIO programs where you will be receiving transfer credit, note that a Foreign Study Checklist (FSC) is required. To receive a FSC, schedule a meeting with a professional advisor in the Office of Global Opportunities at global.opportunities@ohio.edu.

I'm a student athlete, do I need to register when traveling to an away game?

The student travel policy does not apply to “National Collegiate Athletic Association” (NCAA) and/or “United States Collegiate Athletic Association” (USCAA) student athletic travel. 

This travel is regulated under NCAA and/or USCAA rules and regulations and the Ohio University Department of Athletics.

I am planning on attending an away game for the OHIO football team, do I need to register?

Unless you are traveling to the game as part of a student organization or your travel is sponsored by a University unit, you do not have to register.

I’m a College Credit Plus student. Am I allowed to participate in travel experiences through the University?

Yes. However, note that Ohio University does not permit College Credit Plus (CC+) students to enroll and/or participate in any activity, course or program that would require overnight experiences. This includes education away and abroad. College Credit Plus (CC+) students participating in other travel experiences listed in the travel policy must register. 

 

 

I'm a student employee and being asked to travel for work? Do I have to register?

Yes,  you will need to register your work-related travel, if it meets at least one of the following conditions: (1) Beyond one-hundred miles of the Ohio University campus of departure; (2) Departure travel begins on one calendar day and ends on another; OR (3) Travel to another state undertaken by enrolled students and facilitated or sponsored by Ohio University.

 

I checked the U.S. Department of State for travel advisories and my destination has a risk rating of “Level 3” (“Reconsider Travel”) or “Level 4” (“Do Not Travel”). What do I do now?

You must review security information provided by the U.S. Department of State and the Centers for Disease Control. When you register your travel, you will additionally sign a waiver stating that you understand and accept the risks associated with your travel. Due to COVID-19 travel restrictions, you must additionally seek university approval to travel internationally. For more, see OGO's information on Risk Management for Students.

What happens if my travel plans include a country or destination that is sanctioned or embargoed by the U.S. Treasury Department Office of Foreign Asset Control (OFAC)

If there are OFAC restrictions associated with a travel destination, you must work with the designated University office(s) to complete required processes as appropriate and receive permission to travel.

In the event you still choose to travel to a destination sanctioned or embargoed by OFAC without permission pursuant to the travel policy, the University will withdraw its support, including any potential funds for travel and related expenses.

I am a professional staff member and also taking classes. Do I have to register my travel?

If your travel is for a business purpose associated with your employment, you will not need to register your travel here. 

If you are traveling in a student capacity, you will need to register your travel following the procedure outlined above. 

How do I determine if I'm traveling more than 100 miles from my campus of departure?
