Placing a Request

To request an Event Services’ space for an external event, please email reservations@ohio.edu.

Food 

All food and beverage served on Ohio University’s campus must be provided by Ohio University Catering unless you have obtained special approval from Environmental Health and Safety and an exemption form from Ohio University Catering. Catering and other food requests must be submitted to Ohio University Catering, catering@ohio.edu, 740-593-4035, no later than one (1) week prior to your event.

Conferences

A conference is defined as a multidate, multispace external event. These can also include an overnight component on or off campus as coordinated by your Conferences’ contact.

Weddings

Requesting a Wedding

To request hosting a wedding on campus, please complete the Wedding Intake Survey.

Initial Planning

  • Determine the size of your event space
  • How many attendees are you expecting?
  • Select the appropriate date and venue
  • Contact Event Services (740.593.4021 or weddings@ohio.edu) to discuss dates and available venues
  • Create a budget
  • When creating a budget for your wedding, consider the following: facility rental, catering, technical staff, vendors, etc.
  • Provide an itinerary to your Event Services’ contact
  • Having a detailed itinerary will make your special day go smoothly and will help everyone be on the same page
  • Select caterer/menu (If applicable)
  • If using an outside vendor, the total purchase amount must be under $500.00 or you must receive a catering exemption.
  • If alcohol will be present at your event, fill out an Alcohol Application. You may request this Application from your Event Services’ contact and they will provide you with more information. *Note: forms are time-sensitive.
  • Select decorations
  • Please refer to the University Policy 42.501 to ensure that your decorations are safe and acceptable to use for your event.
  • Communicate room set-up and production needs
  • This would include consideration for: tables, chairs, dance floor, pipe-and-drape, microphones, audio, microphones, lighting, and special effects.

In the Week Before Your Event

  • Confirm the number of guests that will be attending your wedding
  • Confirm Catering Order
  • Communicate with Event Services any changes or updates on technical components
  • Please understand any and all changes are time-sensitive
  • Finalize event start and end time
  • Confirm a set-up and event time with your Event Services’ contact

The Day of Your Event

  • Deliver and set up materials/decorations.
    • Your reservation includes access to the venue for a half (1/2) day prior to your wedding day for decorations and/or rehearsal. Please coordinate arrival time with your Event Services’ contact
  • Confirm event set up
    • As the customer, you are encouraged to confirm with the event staff that you are pleased with the set up. If not, communicate changes as early as possible.
  • Review itinerary with the Event Services and Catering staff
  • Test the equipment that you have reserved to ensure that it is functioning correctly.

After Your Event

Finalize payments for all services
