Update from OIT: Transition from Email Triggers to Workflows in Qualtrics

Qualtrics has announced that the Email Triggers feature will be retired in the coming months. At this time, no specific retirement date has been provided, however, they have ceased all updates pertaining to this feature.

Prior to this change, the Email Triggers feature has been an essential part of how the Qualtrics platform functions. Triggers are used to send automatic email notifications to chosen recipients when a survey response is completed. This change will affect how survey designers create automated workflows, however, there should be no impact on survey takers.

As the retirement of Email Triggers approaches, the Ohio University Office of Information Technology (OIT) recommends that members of the OHIO community who use Qualtrics transition to using Workflow Tasks as part of the newer, more comprehensive Workflows feature. Workflow Tasks offer more functionality and flexibility than Email Triggers, providing a more robust and intuitive way to automate Qualtrics surveys.

Please note that once Email Triggers are phased out, they will not be accessible or operational in any existing surveys. To assist with this transition, OIT has compiled a resource in its knowledgebase titled Create Email Triggers Using Workflows in Qualtrics This guide includes step-by-step instructions and tutorials that will guide you through the transition process, ensuring you can continue to leverage the power of automated communication in your surveys.

OIT staff members are here to support you throughout this change. If you have any questions or concerns about the upcoming transition or need help with the Workflows feature, please don't hesitate to reach out to ServiceDesk@ohio.edu.
