Data Retention Policy (Effective June 18, 2018):

Storage of data for up to seven years on the REDCap server, with the opportunity to recover data in an archived format for at least a 2-year period, is permitted. The REDCap Administrator will complete an audit of the system twice per year (January and July) to identify projects that are approaching the 7-year limit. The faculty member(s) or independent investigator associated with the project will be notified by email and informed that their data will be exported from the system on a specific date to remain in compliance with this policy. On the specified date, the REDCap Administrator will export all data to an Excel spreadsheet and send it to the faculty member or investigator. Data exports will be sent using a secure method approved by the Office of Information Technology (i.e., Filelocker), and faculty may securely store their data within the Microsoft OneDrive application. Every faculty member is entitled to 1 Terabyte (TB) on OneDrive. For REDCap projects associated with a graduate student or other trainee (e.g., post-doctoral fellow, undergraduate student), this notification and the exported data will be sent to the trainee’s primary faculty advisor who will be named when trainees request REDCap accounts. For REDCap projects associated with a faculty member who is no longer employed by the university, this notification and the exported data will be sent to the faculty member’s Ohio University department chair. If the faculty member is interested in transferring the exported data to their current university, he or she will send a request to the Ohio University department chair in possession of the data, who will consult with the Office of Research and Sponsored Programs to assess what restrictions may apply to the transfer of data, and whether consultation is required from additional offices, such as the Technology Transfer Office, Legal Affairs, or Office of Research Compliance. If it is determined that the data may be transferred, the appropriate office(s) will facilitate the negotiation and execution of a Data Transfer Agreement between Ohio University and the faculty’s current university. The Data Transfer Agreement may include terms that limit the use and further distribution of the data, as well as acknowledgment of Ohio University’s ownership of the data and providing for such acknowledgment in any future publications. Specific terms will be added, modified or removed based on the type of data being transferred.
