Departmental Printing - Secure Print

Description

Secure Print lets you tell a printer/copier to hold a print job until you arrive at the machine and release that job. This saves on documents getting lost in the shuffle and reduces the likelihood that sensitive or confidential information will be left in the printer's output tray for everyone to see.

Instructions

If you have the drivers for a managed departmental printer/copier installed on your computer, then Secure Print will show up as an option in the print dialog on your computer.

Step 1: Print your document using the Secure Print option.

Windows

  1. Start your print job as you would with any document, typically by choosing File:Print.
  2. Near the printer selection drop down, there is a link marked, Printer Properties. Select this link. With some applications, you may need to choose Print Using System Dialog to see this option.

  3. In the Job Type drop-down, choose Secure Print.

  4. Enter and confirm a passcode.
    • Your computer will save the last code used for easy printing in the future.
    • Multiple people may end up using the same code. Keep this in mind.
    • You can send multiple jobs using the same passcode and release them all at once.

  5. Select Ok.
  6. Print the document.
  7. Your document will be held by your chosen printer/copier until you visit the device and enter the passcode you chose in step 4 above.

Mac

  1. Start your print job as you would with any document, typically by choosing File:Print.
  2. In the resulting print dialog, go to the Copies & Pages drop down and choose Xerox Features.

  3. Under Job Type, choose Secure Print.

  4. Choose a passcode for releasing your job at the printer.
    • Your computer will save the last code used for easy printing in the future.
    • Multiple people may end up using the same code. Keep this in mind.
    • You can send several jobs using the same passcode and release them all at once.

  5. Choose OK, then choose Print.
  6. Your document will be held by your chosen printer/copier until you visit the device and enter the passcode you chose in step 4 above.

Step 2: Release your document(s) by visiting the printer/copier

  • Select the button on the printer/copier marked Job Status. On some devices, this is a physical button, separate from the touchscreen.
  • On the touchscreen, choose Secure Print.
  • You should see a list of all Secure Print jobs. Select the entry that matches your OHIO ID.
  • When prompted, enter the Secure Print passcode you chose when you sent your document.
    • If you sent more than one document using a single passcode, then you will have the option to release jobs one at a time by selecting their names, or you can choose Release All to print all of those documents at once.
