Human Resources, Payroll remind faculty and staff about Winter Break Closure deadlines


Ohio University Human Resources and Payroll would like to remind faculty and staff about the upcoming Winter Break Closure and associated deadlines with regard to job postings.  

The University will be closed for normal business beginning Dec. 24 at 5 p.m. and will re-open on Jan. 2, 2015 at 8 a.m.  

Faculty and non-bargaining unit staff may find extensive details in regards to Winter Break Closure at http://www.ohio.edu/hr/benefits/pto/wbc.cfm. Members of the American Federation
of State, County and Municipal Employees should consult their contract for details regarding the closure. There have been no administrative changes to the WBC since last year.  

The WBC webpage contains information regarding the closure along with links to the official policy which governs WBC along with accompanying guidelines. The guidelines provide additional details for supervisors and employees regarding timekeeping procedures during the closure. A list of classified employees who must use a vacation day during the fourth day of closure is located at the following link: http://www.ohio.edu/hr/benefits/pto/upload/2014-WBC-CNBU-Must-use-vacation.xlsx.

While the University will be closed during this time, it may be necessary for some essential personnel to work during the closure. Supervisors should inform employees who will be required to work during the closure no later than Dec. 8.

In an effort to meet customer expectations and demand, UHR has developed the following schedule to help hiring managers ensure that positions that need to be posted prior to Dec. 24 will be posted on time:

Postings of newly created jobs or jobs with changes (requiring position evaluation): Submit to final approver (provost or planning unit) no later than Dec. 10; final approver (provost or planning unit) submitted to UHR no later than Dec. 12; and posting to begin no later than the end of business day on Dec. 19.

Postings of existing jobs with no significant changes: Submit to final approver (provost or planning unit) no later than Dec. 12; final approver (provost or planning unit) submitted to UHR no later than Dec. 16; and posting to begin no later than the end of business day on Dec. 19.

To ensure that posting requisitions are processed before Dec. 24, please submit on or before the deadlines. Please also note that UHR will not schedule to open or close a job posting during the Winter Break Closure, which is Dec. 25 to Jan. 1, 2015. Please work closely with UHR liaisons to ensure timely processing of postings. 

Employees utilizing WorkForce to record time must do so no later than Dec. 24 at 5 p.m. Employees scheduled to work Dec. 25 to 27 should enter their time in Workforce as usual. Supervisors should approve time by Dec. 24. For time entered after Dec. 24, supervisors will receive notification from Payroll on how to approve this time.
