Field Guide to A&S and Regional Campus Roles & Responsibilities

For A&S Department Chairs

General Information

There are five regional campuses:

  • Eastern
  • Chillicothe
  • Lancaster
  • Southern
  • Zanesville

While regional campus faculty are hired and supervised by their home campus, these faculty members are also colleagues in your department/program.

Staffing

You should expect regional campuses to contact you to request input on Group 1 and Group 2 hiring decisions, as well as to approve Group 3 (part-time) hiring requests.

For all faculty groups, you will receive requests for approval of your department or program for individuals to teach courses on the regional campuses (Staffing Approval Form). These should be accompanied by, at minimum, a CV. You will determine whether they have the training and/or experience to teach certain courses. You can make the determination yourself or with others in your department, such as the curriculum chair or coordinator/instuctor for the course.

Curriculum & Instruction

If instructors in your department utilize a common textbook or exam, this information needs to be conveyed to the regional campus.

You should receive copies of the teaching evaluations for courses taught on the regional campuses.

Course syllabi should be available upon request from regional campuses as well as Athens departments.

Promotion & Tenure

Your department/program is not involved in annual merit evaluations of regional campus faculty.

Your department/program should be asked to provide input on regional campus Group 1 faculty hiring, promotion and tenure cases, and Group 2 faculty hiring and promotion cases. The dossiers that you are sent for review should be accompanied by the campus documents pertaining to promotion and/or tenure.

Communication

Include regional campus faculty on department emails that may affect them (e.g., curriculum, departmental news and events).

For Regional Campuses, Associate Deans

Securing Approvals

The duties of the associate dean include securing approvals for instructors to teach particular courses. In most cases (with the exception of degrees offered through Regional Higher Education or RHE), those approvals come from specific departments/programs on the Athens campus. Approval requests (using a standardized form) are typically routed to a specific individual (the department chair or designated individual or committee) for review.

Communication with the approving individual, committee, program, or department/program should be done in advance of the request. In most cases, talking about a potential candidate can save time in determining the best fit that a candidate can provide within a set of desirable qualifications.

The request should include specific materials for review by the department/program. The request should reflect department or program-specific requests and/or parameters for instructor’s qualifications.

The request should be signed by the associate dean on the relevant regional campus.

Staffing

Associate deans work with program coordinators and/or division coordinators on the regional campuses to identify staffing needs. This should occur as far in advance as feasible though enrollment ebbs and flows, as well as last-minute needs, can generate emergency needs. Thus, having a potential cadre of approved or approvable candidates on file is wise.

New “positions” (often for adjuncts) must now be advertised through the regional campus to allow for interested candidates to apply.

Curriculum & Instruction

You may wish to secure a copy of a course syllabus, course objectives, or previously used course reading assignments for review by the potential instructor.

Course syllabi and other course materials should be available upon request from Athens departments as well as regional campuses.

Teaching evaluations (student evaluations, and where appropriate, peer evaluations) should be conducted for all faculty, including adjuncts, to help assess instructional quality.

Follow Up

It is wise to maintain a database of newly-approved instructors and any conditions for their approvals. Associate deans may need to submit syllabi, teaching evaluations, or other materials to remove a condition or to continue the approval.

Communication with the approving individual, committee, program, or committee about the instructor’s performance is wise. Problems can thus be handled pro-actively. Successes can also be collectively celebrated.
