Policy

It is the policy of Ohio University to compute a partial salary for faculty and graduate assistant personnel who begin work after the beginning of an academic period or terminate employment prior to the close of an academic period by factoring their salary based on the number of days worked.


Procedure

FACULTY

For purposes of this policy, work days for all faculty, whether full or part time, shall be counted based on each academic quarter worked at five (5) days per week (Monday through Friday) from the first day of classes through the "date grades are due" for each of the three academic quarters, including holidays. In the event that the day grades are due falls on Saturday or Sunday it shall be considered a work day. An academic director or chair whose contract reflects a period other than the academic year will have their work days counted on a five (5) day per week basis as above, except from the first day of their employment period through the last day of employment as indicated on the contract.


GRADUATE STUDENTS ON CONTRACT

Work days for graduate students on contract shall be counted on a five (5) day per week basis (Monday through Friday) for each academic quarter worked; or in the absence of a specific academic quarter based on the dates of employment indicated on the contract.

  1. For Teaching Graduate Assistants an academic quarter begins on the first day of classes and ends on the day grades are due in the Registrar's Office.

  2. For Non-Teaching Graduate Assistants a quarter begins on the first day of classes and ends on the last day of finals unless otherwise specified by the department.

  3. For those employed in the area of Residence Life, such as resident directors, assistant resident directors, etc., workdays shall be determined based on the special terms and conditions as set forth by the Director of Residence Life.

Employment situations which are not addressed by any of the above provisions shall be interpreted and appropriately administered by the Provost and the Vice President for Finance.


CALCULATION OF PARTIAL SALARY:

A partial salary shall be calculated based on the number of working days that an employee is on the payroll compared with the total number of working days for which the employee is under contract for the quarter. Examples of this calculation follow which utilize a salary of $36,000 for the academic year.

  1. Faculty member going on the payroll

    Salary for a faculty member going on the payroll January 12, 1998 would be $10,928.55 (gross) for the Winter Quarter. The first payment would be for $2,928.55 to reflect the late start. All future payments would be for $4,000.00 (gross) each month through June (assuming 9 pay plan).

    $36,000 / 3 quarters = gross per quarter                 $ 12,000.00
     Daily rate for the quarter equals $214.29 (12,000/56)
    56 working days for the quarter 
    Less 5 days in January @ $214.29                           (1,071.45)                                      
    Gross pay for Winter Quarter 	                         $ 10,928.55                             

    Partial salary for newly hired faculty who begin employment at the beginning of Winter or Spring Quarter shall be calculated by reducing the annual base salary l/3 for each quarter of the academic year not worked.

  2. Newly hired group I faculty beginning winter quarter 1998; annual base salary of $36,000.

    Annual base salary 1997-98                                         $ 36,000.00
    Less 1/3 (fall qtr)                                                 (12,000,00)
    Gross pay for 1997-98                                              $ 24,000.00
    

    The final pay for a faculty member going off the payroll May 22, 1998 would be $ 631.52. Assuming the faculty member began work at the beginning of Spring Quarter he/she is entitled to pay for 41 of the 57 days in the Spring Quarter @ $210.53 per day ($12,000 / 57).

    $36,000 / 3 quarters = gross per quarter                          $12,000.00
    Paid April and May (assume 9 pay plan)                            ( 8,000.00) 
    16 days not worked x $210.53                                      ( 3,368.48)
     
    Gross amount of final check                                         $ 631.52
