PURPOSE

  1. Memorial Auditorium shall exist to host programs that further the educational and cultural objectives of Ohio University and the community.

  2. The facility shall also serve for community events, when available, and in accordance with the policies and procedures contained herein.

  3. The use of the facility shall generate revenue through the establishment of a rental fee and the payment for all services provided by the University for the administration of the program. A list of all rental charges is available in the Office of Public Occasions.

POLICY

Management

  1. The Office of Public Occasions shall be responsible for the scheduling, supervision, and administration of all classes and events in Memorial Auditorium.

    Use Priorities:

    a. All contracted Performing Arts Series programs.

    b. All classes, special weekends, Honors Convocation, Presidential requests.

    c. College of Fine Arts programs, major student programming units (i.e., BSCPB, UPC).

    d. All other departments or colleges and registered campus organizations.

    e. All non-University organizations.

  2. All scheduled programs shall include the evening prior to the event for final rehearsal, if desired. Additional rehearsals shall be by mutual agreement with the Office of Public Occasions, space available.

Reservations

All programs, other than classes, should be confirmed at least three (3) weeks in advance with the Director of Public Occasions utilizing one of the two forms listed below:

a. Application for Scheduled Event (Admission Free)

b. Application for Scheduled Event (Admission Charge)

Staffing

  1. All staffing to include, but not limited to, security, ushers, and stage hands shall be in the quantity and quality, deemed necessary by the Director for the protection and orderly maintenance of the facility and program, in accordance with University policies and regulations.

  2. All organizations and/or departments requesting the use of the auditorium, at a time when normal custodial service is not available, shall be responsible for the cost of hiring a custodian for the time requested.

Box Office

  1. All organizations/departments, charging admissions for a scheduled event, shall be required to use the auditorium box office. All tickets shall be ordered, in conformation with organization/department copy, by the Office of Public Occasions.

  2. All organizations/departments utilizing the auditorium box office shall have a University account for the deposit of all receipts.

  3. The seating for all events shall be on a reserved basis, unless otherwise provided for by this office, but shall, in no way, be in violation of University policies or state laws.

Cancellation

In the event of the cancellation of an admission charged program, the organization/department shall be responsible for all expenses incurred by this office, including the cost of refunding.

Concessions

No food or drink of any kind shall be sold or given away in Memorial Auditorium without the express approval of the Director.

Recording/Photography

The use of cameras and recording devices, unless approved by the Office of Public Occasions, is not permitted.

Advertising

The organization/department shall not distribute, nor permit to be distributed, any literature pertaining to other than the event, without the express approval of the Office of Public Occasions.
