JIQ Update

For the Discover Phase of the Classified and Information Technology Compensation Project, all Classified employees and those identified as having a primary focus of IT were asked to complete Job Information Questionnaires (JIQs) describing their duties and responsibilities. This information will be used both: as a way to verify market competitiveness, and in the actual Invent Phase of the project.

IT JIQs

IT JIQs were reviewed, signed by the planning unit heads, and sent to University Human Resources (UHR). There was no need for the IT JIQs to be compiled because they are not part of any kind of "classification system" under the current compensation plans. IT positions are fairly individualized depending on the area of the university they service.

Total Number of IT Employees = 201

Total Number of IT JIQs received = 169

Overall Response Rate = 84%

Classified JIQs

Classified JIQs were collected by facilitators in each planning unit and organized by job classification. The facilitators then scheduled group meetings with employees in each classification (with more than one incumbent) to review, discuss and identify similar job duties and responsibilities within their particular classification. This process resulted in a composite or representative JIQ to be used for market comparisons and for developing up-to-date job descriptions as part of the new compensation plans.

The representative and individual JIQs were reviewed and signed by the planning unit heads and forwarded to University Human Resources. During this process, the facilitators identified those JIQs that did not seem to fit, in general, with others in the same classification. Those JIQs were reviewed by UHR to determine if a job audit seemed appropriate. If it appeared they might not be classified accurately now, they will be audited. Audit recommendations were discussed with the facilitator who will communicate the recommendation to the employee.

The number of JIQs that didn’t fit was relatively small. The JIQ process provides UHR with the opportunity to ensure that individual jobs are appropriately classified under the existing compensation plan.

Total Number of Classified Employees = 891

Total Number of Classified JIQs received = 702

                    Overall Response Rate = 79%

Kudos

The facilitators invested significant time and effort in facilitating meetings and in compiling the information into representative JIQs. In preparation, they participated in a half-day training session conducted by Sharon Vance, from Watson Wyatt Worldwide, and Kim Greenfest and Nellie Mitchell, both from UHR.

The success of the compensation project will depend on the contributions of many, many OU employees. The Steering Team and Project Team would like to extend their sincere appreciation to the facilitators for the contribution to the project:
