Services the Programming Administration Office Provides
Data Requests - The programming administration office provides search results for biographical, gift, and prospect data not available from the integral reporting tools found in Advance. This data can be provided in either a paper or electronic format. Lead time: 14 days minimum.
To Obtain the Services We Provide
Lists and Labels - The programming administration office provides search results for lists of individuals whose records are maintained on the Alumni Database. These include all alumni, staff and faculty, selected friends of the university, and selected non degree alumni. These lists can be provided in either a paper or electronic format. Files can also be generated for use in generating mailing labels. These files can also be provided in "one up, continuous feed labels or in an electronic format for generating labels using your own system. Lead time: 14 days minimum.
Specialized Reports - The programming administration can provide, on a case-by-case basis, custom reports on data housed in the Advance system. If these reports are to be used repetitively the format will be saved for future use. The goal of programming administration is to make the report available to the user in as many cases as possible to facilitate timely response. Utilize the Report Request Form to obtain support. Most requests can be fulfilled within two weeks. While we do our best to accommodate last-minute requests, remember that there are several requests coming in daily utilizing programming services and that Presidential-level requests and projects have priority. Be specific in what you need. Know why you are requesting information and the reason for the request. Tell us everything you already know and how and when the report will be used - it will help us formulate a search strategy and tailor the information you receive.
Advance planning should virtually eliminate emergency requests for profile services. We are trying to serve many people and in fairness, we generally operate on a first-come, first-served basis. However, legitimate emergency needs occasionally arise and when they do, we will help all we can!
Priority in Responding to Programming Requests:
- University Leadership (President, Provost, administrative officers, college and academic Deans.)
- A trustee or volunteer who has made a request
- Directors of Development (Annual Giving, Major Gifts and Alumni Relations)
- Other offices within the university
Programming Administration Service Response Goals
Establish focus that meets requirements of all customers, be they in Office of Advancement or outside the Office of Advancement.
- All non-leadership requests are to be completed within two weeks
- All leadership (President, Vice President, or Dean) requests are to be completed with 48 hours.
- All annual giving requirements are to be completed within one week of complete receipt
- Data pull complete within 5 working days
- Mailroom processing within 5 working days of receipt of materials
